Stakeholder View for Jira
User Guide & Documentation • Version 2.3.0
Stakeholder View for Jira lets project managers share live, read-only Jira project dashboards with clients and stakeholders via magic links — no Jira licence required.
How It Works
The app has three components:
- Configuration Panel — Inside Jira, the PM selects which project data to share and customizes the appearance
- Magic Links — The PM generates shareable URLs with optional expiry dates
- Public Dashboard — Stakeholders open the link in any browser and see a live, branded project dashboard
All data is fetched live from Jira on every visit. The dashboard is always up to date.
Getting Started
1
Install the App
Install Stakeholder View for Jira from the Atlassian Marketplace onto your Jira Cloud instance.
2
Open the App
Navigate to any Jira project. Click "Stakeholder View" in the project navigation bar at the top.
3
Configure Your View
In the Configuration tab, toggle the data sections you want to share. Set the project status (RAG), add dimensions, customize branding, and click "Save Configuration".
4
Generate a Magic Link
Switch to the "Share Links" tab. Enter a label (e.g., "Acme Corp — Q1 Review"), choose an expiry, and click "Create Link". The URL appears immediately.
5
Share with Stakeholders
Copy the URL and send it to your stakeholder. They open it in any browser — no Jira account needed. They see a clean, professional project dashboard.

RAG Status Indicators
Set the overall project health with visual indicators:
- On Track — Project is progressing as planned
- At Risk — Needs attention, potential delays
- Off Track — Action required, significant issues
Auto-RAG: Enable auto-calculation to have the app suggest a RAG status based on overdue issues and sprint progress. You can always override manually.
Dimensions: Add custom status dimensions (e.g., Scope, Timeline, Quality) with individual RAG ratings and notes.
Magic Link Management
- Create — Generate links with custom labels and optional expiry (7, 30, 90 days, or never)
- Track — See access count and last accessed date for each link
- Revoke — Instantly disable any link; stakeholders see an "access revoked" page
- Reactivate — Re-enable a previously revoked link
- Delete — Permanently remove revoked links
Custom Branding
- Header Title — Override the project name with a custom title
- Subtitle — Add a subtitle (e.g., "Client Project Dashboard")
- Brand Color — Set the primary color for the dashboard header and progress bars
- Footer Text — Customize the footer (e.g., "Powered by Your Company")
Confluence Macro
Embed a live stakeholder view directly in a Confluence page:
- Edit a Confluence page
- Insert the "Jira Stakeholder View" macro
- Configure the token to use
- Save — the live dashboard appears in the page
Testing the App
To verify the app is working correctly:
- Open a Jira project that has issues, sprints, and/or epics
- Click "Stakeholder View" in the project navigation
- Enable the desired data sections and click "Save Configuration"
- Switch to "Share Links" tab and create a new link
- Copy the generated URL
- Open the URL in an incognito/private browser window (no Jira login)
- Verify that the dashboard displays live project data matching your Jira project
- Back in Jira, revoke the link and verify the URL now shows an "access revoked" page
Frequently Asked Questions
Do stakeholders need a Jira licence?
No. Magic links work without any Jira account or authentication.
Is the data live?
Yes. Every time a stakeholder opens the link, the app fetches current data from Jira. There is no caching.
Can I revoke access?
Yes. Revoke any link instantly from the Share Links tab. The stakeholder will see an "access revoked" page.
What data is exposed to stakeholders?
Only the sections you enable in the Configuration tab. Internal labels, email addresses, comments, and attachments are never shown.
Is it secure?
Yes. Data is fetched server-side within Atlassian Forge — stakeholders never access Jira directly. Links are token-based and revocable. No data leaves Atlassian infrastructure.
Can different stakeholders see different data?
Currently, all links for a project share the same configuration. Per-link configuration is planned for a future release.
